About the Administrative Assistant:

As an Administrative Assistant at Barsz Gowie Amon & Fultz, you will play a pivotal role in supporting the daily activities and success of the firm. You will work with the administrative team to ensure efficient office operations and provide support to both clients and staff of the firm. As the Administrative Assistant, you will be responsible for processing tax returns, handling client communications, and managing various clerical tasks. You will also provide essential support during tax season, including sending electronic tax packages, mailings, and fulfilling client requests.

Responsibilities:

  • Client Communication: Handle inquiries and serve as a point of contact for clients via email or phone, while providing exceptional customer service.
  • Scanning: Scan, organize, and save incoming documents to our electronic filing system.
  • Document Management: Organize and maintain electronic and physical filing systems, ensuring easy access to important documents and information.
  • Tax Return Processing: Electronic delivery and/or assembly of physical tax return packages.
  • Mailing and Distribution: Manage outgoing mailings and ensure timely and accurate distribution or incoming mail.
  • Administrative Support: Support the office manager to provide comprehensive administrative support to the office.
  • Special Projects: Completion of special projects as assigned.

Qualifications:

  • Professional Experience: At least 3 years of experience working as an administrative or office assistant. Previous experience working in an accounting firm highly desired but not required.
  • Technical Proficiency: Proficiency in Microsoft Office Suite. Skilled in using office technology including scanners, fax machines, and multi-line phone systems.
  • Communication: Excellent verbal and written communication skills, capable of effectively interacting with clients and team members.
  • Organizational Abilities: Exceptional organizational skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Confidentiality: Commitment to maintaining confidentiality in all work-related matters.

  • Tax Season Schedule: Availability to work required Saturday hours during tax season, mid-January to mid-April.
